Fast, clear answers keep customers

Customers rarely leave over one problem. They leave when the problem takes three days and four emails to fix. A dedicated support rep closes that gap: faster first replies, consistent answers and escalations that reach you before a small issue becomes a public review.

What experience brings to support

The Philippines has built one of the world’s largest customer support workforces, much of it serving US customers. The reps we scout have worked real queues, so they already know how to calm an angry customer, how to write a refund email that keeps goodwill, and when to stop and escalate.

Set the rep up to win

Write down three things before day one: your refund and exchange policy, your top ten customer questions with the best answers, and the escalation rules. That’s enough for a skilled rep to start. They’ll turn the rest into saved replies during the first month.

How we vet for this role

The skills test

The skills test is a mock support queue: 15 realistic tickets from your industry, including an angry customer, a refund outside policy and a question the rep can't answer. We check tone, accuracy, policy judgment and whether they escalate the right tickets.

It is one of eight checks, alongside a portfolio review, a past employment check, a live English interview, a paid trial task, a background check and an NDA. You interview the shortlist at the end.

Getting started

What the first 30 days look like

  1. Week 1

Your rep learns the product, policies and saved replies, then answers tickets in draft for your approval.

  2. Week 2

Simple ticket types go out without review. Escalation rules are written down and tested.

  3. Week 3

The rep covers the full queue during their hours and starts improving saved replies.

  4. Week 4

First weekly report on ticket volume, response times and top questions, with suggested fixes.

FAQ

Questions about hiring a customer service representative

Will customers know they're talking to a Filipino rep?

They'll know they're talking to a capable person with clear English, which is what matters. Many US customers already deal with Philippine-based support teams every day. We check both spoken and written English before placement.

Can a customer service rep work nights or weekends?

Coverage is set in the role scorecard. Many Philippine support professionals already work US-hour shifts, so tell us the hours you need and we'll scout for that schedule.

How much authority should a support rep have for refunds?

Set a clear limit, for example refunds up to a certain amount or within a certain number of days, and route everything above it to you. Clear limits speed up replies and protect your margins.

What if we get only a few tickets a day?

A part-time rep, or a general VA who covers support alongside admin, may fit better. We'll say so on the discovery call rather than sell you a full-time role.
