Business solutions: fix the process, then staff it
Most delegation fails because the work was never written down. We map it, document it, and automate the parts a person shouldn't be doing, then we staff what's left.
What this covers
- Process audits
- SOP writing
- CRM setup and cleanup
- Automation with n8n, Zapier and Make
- Reporting dashboards
Why we start with the process
When a new hire struggles, the usual story is that the person wasn’t good enough. More often, nobody had written down what the job was. The owner knew it in their head, explained it once on a call, and expected the rest to follow.
Business solutions fixes that before anyone is hired. The result is a job a capable person can pick up in days instead of months.
What the work covers
Process audit. We sit with you, or whoever does the work today, and map one workflow from start to finish: what triggers it, who touches it, which tools it passes through, and where it stalls. Most audits turn up two or three steps that exist only because nobody questioned them.
SOP writing. Each recurring task gets a short, numbered procedure with screenshots, the tools involved and what “done” looks like. A good SOP lets someone who has never met you do the task correctly on the first try.
CRM setup and cleanup. Pipelines that match how you actually sell, fields that get filled in, and duplicates merged. A VA working inside a messy CRM spends half their day guessing.
Automation. Data copied between apps, reminder emails, lead routing, report generation. If a task follows the same rules every time, a tool like n8n, Zapier or Make can usually do it. Our operations lead builds these, including lead pipelines in n8n.
Reporting. A simple weekly view of the numbers that matter for the role, so you can see the work without asking for updates.
Delegate or automate?
A useful rule: if a task needs judgment, delegate it. If it follows fixed rules, automate it. If it’s a mix, automate the fixed part and give the judgment calls to a person. We explain the full test in our guide to delegating versus automating.
How it connects to staffing
Once the process is mapped, the role almost writes itself. The SOPs become the VA’s training material, the scorecard becomes the job description we scout against, and the reporting becomes how you both measure the first 30 days. See how it works for the full sequence.

FAQ
Common questions
Do I have to buy business solutions to hire a VA?
No. Every engagement starts with a solution map, which is a light version: a role scorecard, an SOP outline and a list of automation candidates. The full service is for businesses that want the SOPs written, the CRM set up or the automations built.
Which automation tools do you work with?
n8n, Zapier and Make for connecting apps, plus the automation features inside CRMs like HubSpot and GoHighLevel. We pick the tool you already pay for when it can do the job.
Who owns the SOPs and automations when you're done?
You do. SOPs live in your own documents or wiki, and automations run in your own accounts. If you ever stop working with us, everything keeps running.
How is this different from hiring a consultant?
A consultant hands you a plan. We hand you the plan, the documented process and, if you want it, a vetted Filipino specialist who runs it every day.
