What this covers

Books that stay current

For most small businesses, bookkeeping isn’t hard. It’s just never urgent until tax season, when months of receipts and unmatched transactions land at once. A bookkeeping VA works a little every week, so the books are always ready.

What a bookkeeping VA handles

  • Categorizing transactions and reconciling bank and card accounts
  • Creating and sending invoices, and following up on overdue ones
  • Entering bills and tracking what’s due
  • Collecting receipts and matching them to expenses
  • Preparing a month-end package for your CPA

What stays with your CPA

Bookkeeping and accounting overlap, but they’re not the same job. A bookkeeping VA records and organizes. Your CPA advises, files taxes and signs off on anything that needs a license. Keeping that line clear protects you, and your CPA will be glad to receive clean books.

Access done right

Financial access deserves the most care of any role. Use user-level permissions in QuickBooks or Xero, read-only bank feeds, and a shared password manager for anything else. Every Snova VA signs an NDA and passes a background check before seeing any of your accounts. See trust and security for more.

FAQ

Common questions

Can a bookkeeping VA replace my CPA?

No. A bookkeeper keeps your records accurate and up to date. Tax filing, tax advice and financial statements that need a license stay with your CPA or tax professional, who will find the work faster and cheaper with clean books.

Which accounting software do your bookkeepers use?

QuickBooks Online and Xero are the most common, and we scout for experience in the one you use. If you rely on bill-pay or expense tools like Bill, Ramp or Expensify, tell us and we'll look for that too.

How do I share financial access safely?

Invite the bookkeeper as a user in your accounting software with only the permissions they need, and give bank access through read-only feeds rather than your banking login. Never share your own passwords.
