Where the hours go

The work that piles up

Leads go cold while agents are showing homes

Online leads expect a reply within minutes. Agents in showings and closings reply hours later, and the lead has already called someone else.

Deadlines hide in a stack of paperwork

Inspection periods, appraisal dates and financing contingencies are easy to miss when files are tracked in email threads and memory.

Listings eat hours of admin

Descriptions, photos, MLS entry, social posts and flyers for every listing add up to a full day of work per property.

The CRM is a graveyard

Past clients and old leads sit untouched because nobody has time to keep in touch, even though they're the cheapest source of future deals.

Fair Housing and licensing

Every listing description, ad and social post must follow the federal Fair Housing Act, which bans language showing a preference or limitation based on race, color, religion, sex, disability, familial status or national origin. State laws add more protected classes. Virtual assistants also handle admin only: showing property, negotiating and giving opinions of value stay with licensed agents, under your state's rules.

Why agents hire virtual assistants

Real estate rewards the agent who answers first and follows up longest. Both depend on time that agents spend in cars, showings and closings. A virtual assistant covers the desk while you’re out: new leads get a fast reply, files keep moving, and past clients hear from you regularly.

Two specialist roles

  • Transaction coordinators manage files from accepted offer to closing: deadlines, documents, signatures and updates to every party.
  • Inside sales agents follow up with leads fast, qualify them and book appointments, then keep nurturing the ones who aren’t ready yet.

Many teams also use an executive assistant for the lead agent and a social media manager for listing marketing.

Keep marketing compliant

Assistants who write listing descriptions and social posts need to know the Fair Housing rules. Describe the property, not the people you imagine living in it: “three bedrooms near two parks” instead of “perfect for young families.” Make this part of onboarding for any assistant who writes marketing copy, and keep your broker’s review process in place.

FAQ

Common questions

What can a real estate virtual assistant legally do?

Administrative and marketing work: lead follow-up, scheduling, CRM, paperwork tracking and listing prep. Licensed activities like negotiating, showing property or discussing price opinions stay with licensed agents. Rules vary by state, so check with your broker.

Should I hire a transaction coordinator or a real estate VA first?

If deals are slipping through paperwork problems, start with a transaction coordinator. If leads and follow-up are the gap, start with an inside sales agent or general real estate VA. Our comparison guide goes deeper.

Can a VA post my listings on social media?

Yes, once you've approved the content. Every post and ad needs to follow Fair Housing rules and your brokerage's advertising policies, including required disclosures.

Do your VAs work in my CRM and transaction software?

Yes. We scout for experience with the common real estate tools, like Follow Up Boss, BoldTrail, dotloop and SkySlope, and match to the ones you use where we can.
